About the Role

As the Office Manager at WMC, you will serve as the face of the Amsterdam office, championing a culture of hospitality, organization and operational excellence. You will be responsible for overseeing daily office operations, optimizing systems, coordinating facilities, and supporting both logistical and cultural aspects of our work environment. You will report directly to the Head of Corporate Affairs.

This full-time position is ideal for someone who thrives in fast-paced, multi-faceted roles and brings a detail-oriented mindset along with a service-first attitude. This role requires someone who thrives on structure, communication, and driving efficiencies across teams; you will work cross-functionally with teams across multiple time zones and directly support leadership, corporate and commercial teams on various office and employee-related initiatives.

Responsibilities

• Oversee the smooth daily operations of the Amsterdam office, ensuring a welcoming, well-organized and efficient workplace.

• Manage the Amsterdam facility, office environment, vendor contracts and service performance, and employee and visitor reception.

• Perform various administrative functions such as catering, mail and couriering (incoming and outgoing), document processing and correspondence, support with printing and filing requests, coordinating workspace layout and desk arrangements, and ordering office supplies and promotional materials.

• Coordinate and manage travel arrangements for global teams, including flights, accommodations, visas and ground transportation.

• Plan and execute company-wide events and team building activities.

• Collaborate with teams on internal communications and company-wide messaging (i.e, newsletter).

• Operate and manage the office safety and security, emergency protocols, safety supplies and physical access systems.

• Assist the Legal team with contract database organization and document workflows, including deadline tracking, coordination under company policies, and handling international document authentication (notarizations, apostilles and submissions).

• Perform invoice processing, expense tracking, and collaboration with Finance and IT on systems and procurement.

Education and Qualifications

For this role we are looking for:

• 10+ years in office management, administration or similar roles

• Someone with a helicopter-view, as well as exceptional organizational, multitasking and problem-solving skills

• A person who thrives on productivity and proactivity

• Strong attention to detail

• Strong project management and communication skills, both verbal and written in Dutch and English

• Experience working in a fast-paced environment with a proven ability to plan, prioritize and adjust effectively

• Experience with tools such as Microsoft Office, SharePoint, and travel/HR platforms
